Batch Report by Date

The Batch Report by Date provides a detailed summary of all card transactions that were grouped (or “batched”) together on a specific date. This report helps you verify sales, tips, card types, and totals, and ensures your batch was successfully settled with the processor.

Use this guide to understand each section of the report and how to use it for reconciliation and day-to-day management.

Where to find the report

  • Backoffice --> Reporting --> Reports --> Accounting folder --> Batch Report by Date --> Select Date --> Execute

Report Parts

Report Header

At the top of the report, you’ll find key details about the batch:

  • Batch # – A unique identifier assigned to the batch.

  • Date & Time – When the batch was closed/settled.

  • Transaction Count – The total number of transactions included in the batch.

  • Response – Indicates whether the batch was successfully settled.

  • Location – The business location that processed the transactions.

Transaction Details Section

Each row in the report represents one card transaction.

Here’s what each column means:

  • Order # – The POS order number tied to the transaction.

  • CC Transaction Date – The date and time the card was processed.

  • Employee – The staff member who handled the transaction.

  • Base – The original sale amount before tips or surcharges.

  • Surcharge – Any additional fee applied (such as a card processing fee if passed on).

  • Tip – The gratuity amount entered by the customer.

  • Total – The final transaction amount (Base + Surcharge + Tip).

  • Card Type – The type of card used (Visa, MasterCard, Debit, Credit, Prepaid).

  • CC # – The masked card number, showing only the last four digits for security.

  • Exp. – The card’s expiration date (masked for protection).

  • Auth # – The authorization code from the card processor, used to confirm approval.

Batch Totals Section

At the bottom of the report, you’ll see a summary of all transactions combined:

  • Base – The total of all sales amounts before tips/surcharges.

  • Surcharge – The total of all fees applied.

  • Tip – The total of all gratuities.

  • Total – The full amount processed for the batch (this is the amount submitted to your processor).
