How to Invite Employees to Ingage Scheduling

Whether youyour location is new to Ingage schedulingScheduling or youyou’re haveonboarding a new employee starting, you will need to invitehire, employees tomust be invited before they can access the Scheduling system. 

An employee’s goal status is Joined, which means they have accepted the invitation and can log in to Scheduling.

Check an Employee’s Invitation Status

You can view the invitation status for all employees in one place.

  1. Go to Configuration → Employees

  2. Look at the Invitation Status column

Each employee will show one of the following statuses:

  • To got

    Not ConfigurationInvited --> EmployeeThe employee has not been sent an invitation

  • Invited – The secondinvitation columnhas willbeen letsent youbut knownot eachyet employeesaccepted

    status
  • Joined – The goalemployee ishas to have all employees "Joined"accepted the systeminvitation and joined Scheduling

Send an Invitation (Individual Employee)

To sendinvite and invitation (Foran individual employees)employee:

    1. Double Click

      Go onto Configuration → Employees

    2. Double-click the Employeesemployee’s name

    3. Scroll all the way to the bottom of the Details tab

      to

    5. Locate the "Invitation status"Status section

     

    Invitation Statuses Explained
    • If an

      Not Invited – Send Invite (Red)

      • The employee has not yet been invited youyet

        will see a red box that says "Not invited - Send Invite" 
        • By clicking

          Click this boxbutton it willto send the employeeinvitation the invite viaby email

          and
        • change
        • the

          The status will update to invitedInvited

      • Once the

        Invited employee– Resend (Orange)

        • The invitation has been invitedsent therebut willnot beyet anaccepted

          orange box that says "Invited - Resend"
          • It will stay this

            This status remains until the employee has openedopens the email and clicked onclicks the link to join

            Scheduling.
          • If the employee doesn'tdid join,not orreceive youthe need to send them this link again,email, you can click that buttonResend to give themsend the invitation again.again

            • Once the

              The employee has openeda thevalid email andaddress clickedentered Joinin theBackoffice

              status will change to "Joined"
              • The statusemail buttonwas willnot thenfiltered stayinto greentheir andspam beor greyedjunk out because it can't be sent again. folder

        • Joined (Green, disabled)

          • The employee has accepted the invitation and joined Scheduling

          • This status cannot be changed or resent

        What Happens After an Employee Joins

        Once an employee clicks the link in their email:

        • Their status updates to Joined

        • They can log in to Scheduling

        • They can view their schedule and receive notifications based on their settings

So that you don't need to click into each individual employeeindividually.
