CC Offline Mode

Credit Card Offline Mode allows your POS terminals to continue accepting credit card payments in the event of an internet outage, cellular failover failure, or credit card processor downtime.

Transactions are securely stored on the device and automatically sent for authorization once the connection is restored. I'd remove this sentence. 
This feature helps ensure your business can keep processing sales without interruption during temporary internet outages.

Note: Offline Mode is only available on stations that are utilizing a PAX EMV device.

Do we want to say anything in this document about needing sign off before this feature will be available?


What You Can Do in Offline Mode

  • ProcessAccept credit card payments "Accept" instead of Process?

  • Adjust tips after payment

  • Process refunds

  • Void transactions (with some exceptions—see below)


What You Cannot Do in Offline Mode

  • Start new tabs

  • Process tabs that were started while online

  • Swipe or manually enter cards directly on the POS terminal (manual entry must be done on the payment device itself)

  • Use the “Credit Card Re-Apply” function


Other Important things to know

  • CC ran Online  and tips done online are safe
  • CC ran Online, and tip ran offline, The tip is stored and not processed until reconciled. So it is possible for a sale to go thru but not the tip.
  • CC ran Offline and tip don Offline need to be process and are subject to decline
  • CC ran Offline with no tip entered. Then the transaction are processed and that sale declines, the sale will not be in the enters tip screen. Because the card declined you can not enter a tip on it. 
  • CC ran Offline, but not tip yet.  And then transaction are processed and that sale is successful, then you can enter the tip and the tip is processed online


  • CC ran Online, and the card is voided while in Offline, the void will not process until back online
  • CC ran Offline and then voided while in Offline, is just erased from the pax device and will not even be processed. 
  • CC ran Offline and then voided while in Online mode but BEFORE the reconciliation, is just erased from the pax device and will not even be processed. 
  • CC ran Offline and then voided while in Online mode but AFTER the reconciliation, if successful, will be voided like normal. 


  • If a tab is started while Online, Then they only go offline for a short period of time, once you are back online you can process the tab like normal
  • If a tab is started while Online, you can not process it while Offline, so you will need to ask for the card again
  • Tabs can NOT be started Offline. 


  • If a device has a connection or power issue while the system is trying to Process Offline Transactions it will be shown in the reconciliation results and you will be able to try processing again once the device is online.

  • There is a task in job roles that needs to be turned on for a user to see the CC Offline button in functions. We will NOT give them that job role right until they have signed the appropriate risk documents. 
  • Any cards that are declined, you can not use payment re-apply even once back online. because we do not receive a token from declined transactions

Things to know about Reconciliation

  • The more transactions the longer it will take. Transactions still take about 3 seconds per sale.
  • If they are busy, its ok to wait until later in the day to do the reconciliation
  • The day will NOT CLOSE if the reconciliation has not happened. 
  • Once you click the "Process Offline Transaction" button, it will start processing credit cards on the first device that gets the command. Once it finished on that device it will go to the next one, and then the next one, and so on until all devices have had their credit cards processed. So if there are 4 devices it is going to do each one individually and move between them until all of them are done. This is why no credit cards can be ran during this process.
  • You can still use the terminals to ring in items and cash people out while the Pax devices are busy. 
  • The devices will beep with each transaction is processes.
  • You can not stop, or pause, the devices while this is happening.   (Maybe worded as "once this process starts it can not be stopped")

Things to know if Internet is down for multiple days.

  • The day will not close in Offline mode. So days will be married together

To Enable Offline mode

  1. Log into the terminal
  2. Click on the Functions button on the launch screen
  3. Click on the Offline CC button

  4. Once in this screen you will see a red "Go Offline" button on the bottom tool bar
    1. Note: Check the Credit Card Processing Status before switching to Offline Mode. If your internet connection is active and the processor is online, you likely do not need to use this feature.

  5. When you click the Go Offline button you will get a popup message explaining the risks of going into Offline mode, and you will need to click yes to confirm.

  6. Once you have enabled Offline Mode an email will be sent out to Ingage IT support staff, any email address on the daily close setting, and the employee who enabled the Offline mode.  (Note: if you are in offline mode because the internet is out the email will be delivered once internet is restored).

To Disable Offline (or To Go back Online)

  1. Log into the terminal
  2. Click on the Functions button on the launch screen
  3. Click on the Offline CC button
  4. Once in this screen you will see a green "Go Online" button on the bottom tool bar
    1. Note: Always check the Credit Card Processing Status before switching back online. If the internet connection has not been restored, do not attempt to bring the system back online.

  5. Once you have Disabled Offline Mode an email will be sent out to Ingage It support staff, any email address on the daily close setting, and the employee who enabled the Offline mode. (Note: if you are in offline mode because the internet is out the email will be delivered once internet is restored).

You are now back to processing credit cards online.  

You can decide to Process Offline Transactions at this time or wait until later when you are not busy. 

To Process Offline Transactions

The Process Offline Transactions button will only appear if there are offline transactions waiting to be processed. If no offline transactions have been taken—or if they have already been processed—this button will no longer be visible. 

  1. Log into the terminal
  2. Click on the Functions button on the launch screen
  3. Click on the Offline CC button
  4. Once in this screen you will see a blue "Process Offline Transaction" button on the bottom tool bar

  5. When you click it you will get a popup explaining that the reconciliation may take several minutes. Only do the reconciliation if you have time and don't have customer waiting to pay out.
    1. Note: Once you have clicked the Go Offline button, credit card transactions are being processed as usual. There is no immediate need to Process Offline Transactions.

  6. The Screen will give you a "Processing Reconciliation" screen until the process is done. You can use other terminals to ring in items and cash people out, but you can not take any credit cards (you can still take credit cards on other stations. Not sure we want to tell them this but it might be worth leaving out that they cant) What about saying "it is recommended that you abstain from running credit cards until this process has completed" until this process is done. (it takes about 3 seconds per transaction; so if you had 100 transactions, it will take about 5 minutes to process)

  7. Once everything has processed you will get your reconciliation results. It will tell you how many were successful and how many failed (declined) things can fail without being declined but we could say failed/decline?. Below that it will list out all failed transactions. You have 2 options with Failed transaction
    1. Do nothing. Let the day close and you are just not able to recoup the money for the failed transactions. 
    2. Open the transaction and void the payment. Click the teal "Open" button on the right-hand side to access the order, then select Void Payment. This will reopen the table, allowing you to either let the order roll to the next business day—so the customer can pay on their next visit—or comp the order if you do not expect to recoup the payment.

  8. Once you have Processed all Offline Transactions an email will be sent out to Ingage IT support staff, any email address on the daily close setting, and the employee who enabled the Offline mode. (Note: if you are in offline mode because the internet is out the email will be delivered once internet is restored).  It will detail every single transaction that was ran during Offline Mode. Successful and Declined ones.

How Offline Declines look in Reporting

  • Any declined Sales or Tips will show up in its own section right above the Amount due section
