Sail POS: Set up and manage price levels (happy hour, event pricing, and item discounts)
Summary. Walks through creating a Sail price level from scratch, setting it to run automatically (happy hour) or be manually toggled (event pricing), and choosing which items get the price change - either from the price level side or from an individual menu item.

Before you start
- Price levels live in Backoffice > Settings > Price Levels, which has three tabs: Price Levels (create/edit the level itself), Adjust Item Prices (choose which items it affects, price-level-first), and Price Preview (test what price an item will show at a given date/time).
- You can also attach a price level to one specific item starting from that item's own record instead of starting with the price level - useful if you're already looking at the item. See Items: Details Tab
- Decide up front whether this should run automatically (most happy hours) or be turned on/off manually by staff (special events) - this changes one setting during setup.
Create a new price level
- Go to Backoffice > Settings > Price Levels > Price Levels tab, click "Add new record."
- Under General, name the price level something recognizable (e.g., "Happy Hour" or "Friday Band Night").
- Check "Is Active." A price level will never apply if this is unchecked, no matter how everything else is configured.
- Decide how it turns on:
- Automatic (most happy hours): leave "Can Quick Toggle" unchecked, and set the Active Period's Start Time, End Time, and Days. The price level turns on and off by itself during that window - no staff action needed.
- Manual (event pricing): check "Can Quick Toggle." This adds the price level to Functions > Toggle Price Levels on the terminal so staff turn it on and off with a button press. An Active Period can still be set alongside this - it restricts when staff are allowed to toggle it on, rather than turning it on automatically. - Under Filters, scope the price level if it shouldn't apply everywhere (Brand, Location, Profit Center, Zone, Order Type) - for example, a bar-only happy hour using Profit Center.
- Under Price Adjustments, set either a Price Change Amount or a Price Change Percentage for items (and modifiers, if needed). These are two separate ways to adjust price - not meant to be combined on the same item.
- Save the price level.
Choose which items get the price change
You can do this from either side, whichever is more convenient:
- From the price level (good for setting up many items at once): go to the Adjust Item Prices tab, select the price level, and Search. For each item to include, check "Apply Master Price Change" to use the Amount/Percentage set on the price level, or enter a specific dollar figure in "New Price" to give just that item its own override. Use "Check All Master Price Change" or the per-category "Check All Master Price" button to apply it to everything in view at once. Click Save.
- From the item (good when you're already editing a specific menu item): open the item's own record and use its Price Levels tab to see and edit every price level change affecting that one item. See Items: Details Tab.
Change the hours, days, or items on an existing price level
- To change when it runs: edit the price level on the Price Levels tab and update Start Time, End Time, or Days under Active Period.
- To change which items it discounts: use either method above.
Verify it worked
- Go to the Price Preview tab, set the date/time you want to check (it doesn't have to be right now), and search. The Calculated Price and Origin columns show whether an item is being priced by the price level you expect.
If it doesn't work
- Confirm "Is Active" is checked - if unchecked, the price level never applies.
- Confirm the current day/time falls inside the Active Period's Days and Start/End Time.
- Confirm the item is checked for "Apply Master Price Change" (or has its own New Price set) - a price level with no items configured won't change anything.
- If using Quick Toggle, confirm a staff member actually turned it on at the terminal - unlike an automatic happy hour, this requires an in-the-moment action.
- Check the Filters (Brand/Location/Profit Center/Zone/Order Type) - a level scoped to the wrong profit center or order type won't apply where expected.
- Don't set both a Price Change Amount and a Price Change Percentage on the same item - use one or the other.
